AI outreach: distinguish knowledge, fact checking and sending controls

The short answer
Fluent writing, correct use of company material, recognition of unknowns and controlled sending are separate capabilities. A knowledge base is reference material, not a guarantee of truth. A correct draft does not prove that its recipient, attachment and final version are correct. Test each layer with the same known, unknown and outdated inputs.
Professional language is not enough
A natural-sounding draft can use an old minimum quantity, guarantee an unconfirmed date or describe a sample suggestion as buyer-approved. Grammar checks may not reveal these business errors.
Ask where each price, specification, certification, date and commitment comes from and whether it applies. Unsupported statements should be removed, turned into questions or marked for confirmation.
Maintain the knowledge before evaluating generation
Materials need product scope, revision, validity and an owner. A company introduction does not establish every product term, and an old quotation is not automatically valid for another customer. A business owner should resolve conflicts.
Separate relatively stable descriptions from transaction-dependent price, capacity, freight and timing. Retrieval of a document and validity of its contents are different checks.
| Material | Example | Treatment |
|---|---|---|
| Confirmed fact | Approved company or product description | Retain its scope |
| Transaction term | A particular quote’s price and date | Check customer, product and validity |
| Unknown | Undecided packaging or freight | Ask instead of inventing |
| Expired or conflicting | Old and revised minimum quantities | Flag for the responsible reviewer |
Use common materials that expose weaknesses
Create clearly fictional inputs: a product card with dimensions and material, a buyer asking about unspecified certification, price and timing, and an explicitly expired quote. These are test materials, not real commercial terms or completed benchmark results.
Ask each candidate for a draft plus known facts, open questions and sources. Retain prompt, inputs, initial output and edits. If a tool lacks a citation interface, manually verify statements; missing citation UI alone does not prove an error.
- Keep inputs and omissions identical.
- Check invented certifications, prices and dates.
- Check misuse of expired terms.
- Check whether suggestions become claimed approvals.
- Record correction reasons, not just generation time.
- Evaluate sending separately from drafting.
Check recipient, attachment and final revision
After editing and translation, recheck figures, currencies, conditions and negation. Independently verify customer, attachment revision, recipient and quoted history.
Draft evaluation does not require sending to a buyer. If delivery testing is later needed, use a controlled receiving address and labeled test content. Opening an external app is not delivery; a send status is not proof of reading or acceptance.
Ask Reacho to demonstrate the complete review path
Begin with company material and the current inquiry, then inspect the draft, corrections and unresolved questions. Check translation, recipient, attachments and the pre-send state. Uploading knowledge does not replace human approval.
Use the same task for general AI and other software. Evaluate how Reacho connects material, customer context and subsequent work, including any manual copying. This article has no measured outputs and reports no accuracy ranking.
Keep a reusable error record
Separate factual mistakes, obsolete conditions, unsupported promises, omissions and language issues. Several errors in one output are not separate failed customers. Repair material before assuming another model solves the problem.
Use the checklist to assign decisions and owners. Retest retained materials when terms or configuration change. Establish how errors are found and corrected rather than promising they will never occur.
Common questions
Does a knowledge base prevent fabrication?
It does not guarantee it. Check retrieval, validity, conflicting material and missing transaction conditions.
Must test drafts be sent to customers?
No. Evaluate drafts without sending. Treat delivery as a separate controlled test.
How should general AI and export software be compared?
Match inputs and tasks, then record factual errors, edits, preparation, context transfer and follow-up work as well as writing quality.
