The short answer

Extract specifications, quantity, customization, delivery and documentation requirements before replying. Separate confirmed and unresolved items, assign owners and next dates, and keep quotations and samples tied to the same requirements baseline. Sending a reply, generating a document and obtaining customer approval are different events.

Break down the questions before drafting

A single inquiry may ask about materials, dimensions, branding, minimum quantities, price tiers, packaging and lead times. Asking AI for a complete reply immediately can produce fluent text with omissions. List each question first, then add the answer and its evidence.

  1. Confirmed: answer using approved product information or current commercial terms.
  2. Customer input needed: dimensions, quantity, target market, references or delivery address.
  3. Internal input needed: technical, supplier, production or logistics checks.
  4. Next action: assign an owner, required input and follow-up date to each unresolved item.

Establish a requirements baseline before quoting

Record the product and revision, specifications, quantity, customization, packaging, currency, delivery scope and conditions of validity. Recheck the quote if materials, quantities or packaging change.

Do not leave delivery and fees as an unexplained abbreviation. Make included items, separate charges and unresolved logistics costs clear. This is a record-keeping framework, not a substitute for contractual or professional review.

Track sample approval and charges separately

Define the sample’s purpose before work begins: appearance, construction, materials or a particular performance requirement. Adapting an existing structure and developing a new one can require different scopes of work.

Record sample charges, tooling or other separate fees, freight, payment, revision and feedback. Approval of a sample does not automatically confirm every production detail. Turn changes into traceable revisions and assigned actions.

Use the customer record as the follow-up starting point

Does generating a quotation or sample agreement mean the buyer approved it?

No. Record generation, internal approval, sending, customer feedback and final confirmation separately, with the relevant revision attached.
