The short answer
Annual fees alone are insufficient. Match users, scope and workload, then separate fixed charges, usage purchases, required services and one-time implementation. Record internal effort as opportunity cost. Distinguish first year from renewal and credits consumed from cash recharged. An entry price does not establish the cheapest complete proposal.
Fix the comparison scope
Two annual quotes may include different users, modules, services and allowances. Record required logins, workflows, term and channels. Clarify whether seats refer to named users, concurrent users or another measure.
Keep introductory and renewal terms separate, with tax basis and quote validity. Unquoted items remain unconfirmed rather than zero. This is a budgeting method, not an unverified vendor price ranking.
Separate cash and internal time
Cash includes subscription, extra seats, usage purchases, required services and implementation or migration. Internal effort includes cleanup, learning, templates, maintenance and exceptions. It is useful for comparison but is not another invoice.
Add fixed fees, expected usage purchases, necessary services and one-time projects for cash budgeting. Calculate internal hours at your own assumed hourly cost separately to avoid double counting.
| Item | Inputs | Common mistake |
|---|---|---|
| Subscription and seats | Term, included users and additions | Charging included users twice |
| Usage | Actions, counts, rules and allowances | Treating one business task as one billed action |
| External services | Required third-party connections | Treating optional tools as universal |
| Implementation | Scope and recurring status | Repeating one-time fees every year |
| Internal effort | Role hours and an assumed rate | Presenting opportunity cost as an invoice |
Budget three explicit workloads
For example, use 50, 200 and 500 monthly instances of a task as low, base and high inputs. These are illustrative counts, not typical-customer evidence or plan allowances. Count distinct tasks under their actual billing rules.
If an action consumes q credits and runs n times per month, its estimated usage is n×q. Add actions separately, then apply actual sharing, inclusion, rollover and expiry rules. A prospecting task may include search, validation and drafting rather than one billed event.
Cash purchases differ from consumption. Minimum packages or bonuses require the actual purchasing rules, with remaining balance shown separately. Multiplying all consumption by a single nominal price may not equal annual cash expenditure.
Turn unknown charges into answerable questions
Ask when charging occurs, how failures and retries work, whether allowances are shared, what happens at exhaustion and where records are visible. Confirm which required third-party services are billed separately.
For setup, specify records, templates, roles and support period. A free implementation label does not establish the internal work needed; paid services also require a clear scope.
Fill a Reacho budget from current terms
Use the current plan for subscription and users, and the agreed credit rules and contract appendix for actions and purchase tiers. Verify a representative workload against actual trial records. Internal model costs are not customer prices.
Retain competitors’ original billing units and translate them into the same workload before comparing. This article does not fill unknown prices or promise that an example workload will cover a year.
Review assumptions before renewal becomes urgent
For a normal operating month, compare expected actions, recorded usage and cash purchases. Investigate workload changes, repeated operations, setup and misunderstood rules before changing the budget.
The worksheet records source, quantity, unit, inclusion and optional status. Preserve both base and higher-use scenarios so discussions concern specific cash and maintenance requirements.
Common questions
Does credit consumption equal cash recharged?
Not necessarily. Tiers, included allowances, bonuses, rollover and expiry can separate cash purchases from consumption and balance.
Are 50, 200 and 500 plan allowances?
No. They are replaceable workload assumptions for budgeting.
Which product is cheapest?
That requires complete quotations for matched users, scope, workload and term. This article does not establish a vendor price ranking.
