Export software selection: prospecting tools, CRM or ERP?

The short answer

Identify the broken step first. If you lack verifiable buyer candidates, evaluate prospecting. If contacts and conversations exist but follow-up is unreliable, evaluate CRM. If purchasing, inventory and delivery records are disconnected, examine ERP or the relevant operational modules. SaaS describes a delivery model, not a business-function category separate from CRM or ERP. Validate workflows rather than product labels.

Why extensive demonstrations can still leave you uncertain

A demonstration may cover discovery, AI, email, orders and dashboards. Your actual problem may be narrower: a quotation revision cannot be traced to the buyer’s requirement. Feature breadth alone does not resolve that problem.

Describe a recent failure: who lacked which information at what step, and what had to be redone? Then specify the records and hand-offs needed to prevent it. This is more testable than asking for a CRM with AI.

Use scenarios to decide what to evaluate first

A three-person trading team without a consistent prospect list should validate profiles and candidate quality before spending weeks configuring management reports.

A factory receiving regular inquiries but losing quotation conditions across email and spreadsheets needs requirements, revisions and next actions. More leads can amplify an existing follow-up problem.

If multi-warehouse stock, purchasing and delivery are the main bottleneck, include the operational users in ERP or module acceptance. A sales-only demonstration is insufficient. These are illustrative decision scenarios, not customer case studies.

How to interpret established vendors’ product information

Ask for the specific product, edition, seats, data allowance and required configuration. A feature mentioned on a website may not be included in your quotation. Mark missing information as unconfirmed rather than unsupported, and do not pair an entry-level price with a premium feature set.

Use one common task instead of relying on feature checkboxes

Prepare anonymized or clearly fictional materials: product information, an inquiry, a specification change and a follow-up task. Record manual entry, tool switching, outputs and limitations. Estimated completion times are not measured results.

  1. Create a customer record and document the source and fit.
  2. Separate confirmed questions from buyer and internal clarification tasks.
  3. Prepare a quote and change one quantity or specification; check revision traceability.
  4. Link sample work to an owner and a next date.
  5. Ask another operator to find the latest state and supporting information.
  6. Export the records you require and inspect what the files actually contain.

SaaS describes software delivered as an online service. CRM describes customer and sales-management capabilities. CRM and ERP can both be provided as SaaS; these are not mutually exclusive categories.

Is buying every module together necessarily cheaper?

Include configuration, training, actual usage, integrations and renewal conditions, not just bundle discounts. Validate the critical workflow before purchasing extensions.
