Evaluate whether CRM reduces recurring work before comparing feature counts. Essential records often include customer ownership, conversation evidence, next actions and relevant quotation or sample revisions. Compare subscriptions, seats, usage, setup, training and migration together, then validate with a representative task. Small headcount does not always mean simple work, but unused management complexity also creates maintenance.
Maintenance time is a scarce resource
In a three-person team, the owner may handle prospecting, quotes, suppliers and payments. Extensive setup and repeated entry can make a low subscription price costly in practice.
Ask to see tomorrow’s workflow: where a new inquiry goes, who owns it, how the next date is recorded and where revised quotations are found. An executive dashboard does not replace knowing which customer needs attention today and why.
Separate essential, near-term and unnecessary requirements
This is a discussion framework rather than a package recommendation. Work volume, product complexity and responsibilities matter more than headcount alone.

One, three and five people raise different questions
A sole operator may prioritize retrieving information, reminders and reduced repetition. A well-maintained spreadsheet can be sufficient for a modest and stable workflow.
A three-person team encounters ownership and handover problems: duplicate outreach, holiday coverage and quotation files stored on personal devices.
A five-person team should examine permissions and staff transfers, not merely add accounts. People may need different access, and an entry package should not be assumed to include every collaboration requirement.
Compare total effort on a consistent basis
Use the same headcount, period and workload. Separate subscriptions and seats, usage, required external services, setup/training and migration. Distinguish first-year costs from renewal and use a consistent tax basis.
Illustrative calculation: valuing internal time at RMB 100 per hour makes eight setup hours an RMB 800 opportunity cost. This is not an invoice or a vendor implementation quote. It is a replaceable assumption for making time visible. Use actual quotations for subscription and usage charges.

Complete a recorded trial task
