Writing AI export outreach with company knowledge: facts before fluent copy

The short answer

Useful AI outreach starts with verifiable input, not a request to sound professional. Provide buyer evidence, approved product capabilities and a clear purpose. Generate a short draft, then review every factual claim and next step. Unknown prices, lead times, certifications and customization capabilities should remain subject to confirmation.

Prepare three types of input

First, buyer facts: what the business does, where you found a relevant product and who may handle purchasing. Second, company information: products, processes, specifications, available materials and approved terms. Third, the purpose: clarify buying requirements, request specifications or offer relevant product information.

Keep scope and revision dates with knowledge documents. Do not combine different products’ minimum quantities or different factories’ lead times into a universal promise. An old quote is not automatically a valid price for a new buyer.

A four-part first-contact structure

This is an illustrative structure, not a real customer case or a ready-to-send bulk message. Fill and verify each placeholder.

  2. Relevance: We supply [relevant product or service] and can share [existing, approved information].

  4. One next step: If relevant, I can send [focused product information] for your review.

Review the draft sentence by sentence

Separate factual claims from communication suggestions. Facts need sources; suggestions must fit the relationship stage. Do not imply an existing partnership in a first email or invent customers, capacity, certifications or lowest-price claims.

Check the recipient, greeting, terminology, attachments, currency and dates. Translation must preserve uncertainty: “subject to testing” must not become “fully waterproof.”
